UNDP Common Services Associate
The United Nations Development Programme (UNDP) is seeking a dynamic and results-oriented Common Services Associate to join its operations team in Harare, Zimbabwe. This role, situated within the broader framework of UN Coordination, plays a pivotal part in the smooth functioning of UN common premises, directly supporting the mission of delivering shared services across UN agencies operating in Zimbabwe.
A Backbone Role in UN Operations
Under the overall guidance of the Deputy Resident Representative for Operations and the direct supervision of the UNDP Common Services Analyst, the Common Services Associate (CSA) is at the heart of managing the day-to-day administrative, logistical, and financial functions related to the shared operations of UN agencies. The CSA’s responsibility encompasses maintaining secure, efficient, and cost-effective workspaces, including boardrooms, communications infrastructure, and shared assets.
This role not only keeps the UN common premises operational but also ensures that collaborative efforts among agencies are streamlined. Key Responsibilities
The successful candidate will:

Oversee daily operations and maintenance of the common premises, ensuring an optimal work environment.

Prepare and implement annual work plans and budgets in coordination with the Operations Management Team (OMT).

Administer procurement and contracts related to common services, ensuring compliance with UNDP procedures.

Supervise support staff such as cleaning teams, switchboard operators, and vendors, fostering a cooperative and high-performing work culture.

Maintain and reconcile asset inventories and manage the safekeeping of shared equipment.

Facilitate communication and coordination between UN agencies, vendors, and government institutions on all issues concerning common services.

Act as secretary/ex-officio during OMT and related inter-agency meetings and support the documentation and follow-up of decisions made.

Lead initiatives related to Business Operations Strategy (BOS) and the setup of the Common Back Office.
The Ideal Candidate
Applicants must hold either:

A high school certificate with at least six years of relevant administrative or premises management experience, or

A Bachelor’s degree with a minimum of three years of similar experience.
Proficiency in English and either Shona or Ndebele is essential, alongside strong skills in budget monitoring, facilities maintenance, procurement, and contract administration. Experience working in a UN setting or with international organizations is a strong advantage, particularly if it includes coordinating multi-agency services.
